Awardify / Buying guidance

Compare the brief.
Then the quote.

Compare award and promotional-gift suppliers against the same written specification. Product choice, personalisation, proofing, packaging and delivery all affect what a quotation actually includes.

Choose the service your project needs.

A catalogue product with a logo, an assembled corporate gift set and a trophy designed from a reference are different briefs. Ask each supplier to explain which parts they handle and which decisions you need to approve.

Awardify helps with custom awards and with sourcing and personalising promotional items. This buyer checklist is written from that commercial perspective; it is not an independent supplier ranking.

Ask every supplier the same questions.

Product and material

What exact model or construction is included? Request dimensions, material and finish. For drinkware, confirm capacity and care guidance. For technology gifts, confirm device compatibility and supplied accessories.

Branding and artwork

Which method, logo positions, print colours and personalisation are included? Ask how artwork is checked and what proof you will approve. Different branding areas or individual names can change the scope.

Quantity and timing

Is the quotation based on available stock or a custom production run? Confirm quantities per colour or size, artwork approval deadlines, production timing and the date the finished items must arrive.

Packaging and delivery

Does the price include a box, insert, sleeve or bag? Confirm internal fit as well as external dimensions. State the delivery location and ask which delivery, sample, setup and applicable tax charges are included or separate.

Use a total-order comparison.

Record the quoted product subtotal, branding, setup, sample, packaging and delivery charges. Keep any applicable tax on a separate line when comparing proposals. Ask suppliers to identify exclusions rather than filling in the gaps yourself.

Divide the total comparable cost by the number of usable finished pieces only after the scope is aligned. A box included in one quote and omitted from another can make a unit-price comparison misleading.

For awards with recipient names, check that each proposal covers the same number of unique names, spelling checks and artwork proofs. For gift sets, compare the exact contents and presentation, not just the photographed arrangement.

Ask for evidence that fits the product.

Request product-specific information where performance or a material claim matters. For example, ask what supports a recycled-content statement, which component it applies to and whether the evidence matches the selected model. Do not transfer a supplier-wide claim to every item in its catalogue.

For unfamiliar electrical accessories, drinkware or products intended for a particular audience, state the documentation your organisation requires before ordering. The right evidence depends on the product and intended market.

The Promotional Products Association International responsible-sourcing resources provide an industry reference for product, social and environmental questions. They do not establish that a particular Awardify product is certified.

Apply the checklist to a real brief.

For an employee welcome kit, specify the notebook, pen, drinkware, box, insert and branding for each item. For a recognition event, specify the award material, dimensions, categories, names and individual packaging. Ask every shortlisted supplier to quote the same scope.

Explore gift sets, presentation packaging and corporate awards. If the item you need is missing, send Awardify a reference image and the same written brief.
